Mass Email Policy

The Public Affairs team oversees the distribution of messages via the All-University and All-Student email lists. This policy includes information relevant to distribution via those lists.

All-University Emails

The All-University email list includes all employees (both faculty and staff) with a Roger Williams University email account. All-University emails are issued with the approval of the Public Affairs team and are deemed appropriate for:

  • Crisis communications and emergency closings
  • IT notices about viruses or imminent problems
  • Service interruptions
  • Parking bans
  • Presidential messages
  • Messages that should not be shared with the student body
  • Other messages deemed of high importance

All other messages should be submitted for inclusion on the Campus Announcements page at PDQ@RWU and associated publication in PDQ Pulse.

Send requests for All-University emails to publicaffairs@rwu.edu. Submissions may be edited for style and grammar to ensure consistency and clarity.

If deemed appropriate, messages will typically be distributed within 24 hours of submission. If the message is time-sensitive, please immediately notify the Public Affairs team by telephone.

All-Student Emails

The All-Student email list includes all undergraduate students with a Roger Williams University email account; it does not include law, graduate or continuing studies students. All-Student emails are issued with the approval of the Public Affairs team and are deemed appropriate for:

  • Crisis communications and emergency closings
  • IT notices about viruses or imminent problems
  • Service interruptions
  • Parking bans
  • Presidential messages
  • Vice President of Student Affairs and Dean of Students notices of sufficient urgency
  • Other messages deemed of high importance

All other messages should be submitted for inclusion on the Campus Announcements page at PDQ@RWU and associated publication in PDQ Pulse.

Other Mass Email Lists

The All-Faculty email list includes all faculty members with a Roger Williams University email address. Public Affairs does not have oversight of All-Faculty emails. Contact the Office of Academic Affairs at extension 3096 if you wish to contact faculty members in this manner.

The Law Students email list includes all current law students with a Roger Williams University School of Law email address. Public Affairs does not have oversight of Law Students emails. Contact the RWU Law Dean of Students Office at extension 4593 is you wish to contact law students in this manner.
